What does a bookkeeper do?
A bookkeeper records, organizes, and reconciles a business's day-to-day financial activity. That includes categorizing income and expenses, reconciling bank and credit card statements, producing monthly Profit & Loss and Balance Sheet reports, tracking accounts receivable and payable, supporting payroll and sales tax record-keeping, and delivering year-end financials your CPA can use to prepare your tax return.
Do I need a bookkeeper if I already have a CPA?
Yes - and your CPA will probably love that you have one. CPAs handle tax strategy and tax filing. Bookkeepers keep your records clean and current throughout the year. A bookkeeper makes your CPA's job faster, more accurate, and less expensive at tax time.
Do you prepare taxes?
No. Miya B Bookkeeping does not prepare or file tax returns. We keep your books accurate, organized, and tax-ready so your CPA or tax preparer can do their job efficiently. We're happy to coordinate directly with your CPA at year-end.
Do you help with tax preparation documents?
Yes. We deliver a year-end tax prep package - clean financial statements, general ledger detail, 1099 contractor totals, and any supporting schedules your CPA requests. We make the handoff to your tax preparer seamless.
Do you use QuickBooks Online?
Yes - QuickBooks Online is our primary platform. We can also work with files migrated from QuickBooks Desktop, Xero, Wave, or spreadsheets, but we strongly recommend QuickBooks Online as the steady-state platform for ongoing monthly bookkeeping.
Can you clean up old books?
Absolutely. Cleanup is one of our most requested services. We diagnose what's broken, scope the project, deliver a fixed-fee quote, then methodically clean up your books - period by period, account by account.
What if I am several months behind?
Catch-up bookkeeping is also a defined project we handle frequently. Whether you're 3 months, 12 months, or 24+ months behind, we'll quote the catch-up, bring your books current, then transition you into monthly bookkeeping going forward.
How often will I receive reports?
Monthly. Reports are delivered on a consistent schedule each month, accompanied by a short cover-note email summarizing what's notable. Queen Bee clients also receive bi-weekly check-in calls and optional KPI dashboards.
What reports do you provide monthly?
Every monthly engagement includes a Profit & Loss statement and Balance Sheet. Most clients also receive a cash flow snapshot and, when relevant, Accounts Receivable Aging and Accounts Payable Aging. Custom KPI dashboards are available in Queen Bee packages.
What is reconciliation?
Reconciliation is the monthly process of comparing your bookkeeping records to your actual bank, credit card, and loan statements to make sure every transaction shows up correctly. It's the single most important monthly step in bookkeeping.
What is a Chart of Accounts?
The Chart of Accounts is the master list of all the categories used to organize your financial activity - things like Sales, Rent, Software, Equipment, Owner's Equity. A clean, right-sized Chart of Accounts produces useful reports; a bloated one produces confusion.
What is the difference between profit and cash?
Profit is what you earn after expenses on paper. Cash is what's actually in your bank account. A business can be profitable on the P&L but still cash-poor if customers haven't paid yet, inventory is tied up, or large equipment was purchased recently. They are two different stories and both matter.
What is the difference between cash basis and accrual basis?
Cash basis records income when it's received and expenses when they're paid. Accrual basis records income when it's earned and expenses when they're incurred - regardless of when the cash actually moves. Most small businesses use cash basis for simplicity, but accrual gives a clearer picture for businesses with inventory, long sales cycles, or extended payment terms. Your CPA will recommend which one fits your situation.
Do you help with payroll?
We coordinate with your payroll provider - recording payroll entries, reconciling payroll liabilities, and tracking 1099 contractor payments - but we don't run payroll directly. You (or your team) will use a dedicated payroll provider like Gusto, ADP, QuickBooks Payroll, or Paychex.
Do you help with sales tax?
We support the bookkeeping side of sales tax - making sure collected sales tax is tracked to a proper liability account, payments are applied correctly, and your records match what's been filed. We don't file your sales tax returns; that's typically handled by you, your CPA, or a filing service like Avalara or TaxJar.
Do you work with businesses outside Brevard County, Florida?
Our focus is Brevard County - including Melbourne, Palm Bay, West Melbourne, Viera, Cocoa, Rockledge, Satellite Beach, and the rest of Brevard County. We do work with some clients outside the immediate area when it's a good fit - let's chat on a consultation call.
How much does bookkeeping cost?
Monthly packages start at $295. Final pricing depends on transaction volume, number of accounts, complexity, and the support you need. We provide a written quote after every consultation - no surprise pricing.
What do you need from me to get started?
A consultation call, then once we both decide to move forward: a signed engagement letter, completed intake form, QuickBooks Online accountant access, bank and credit card feed authorizations, recent statements, and your CPA's contact info.
How long does onboarding take?
Standard onboarding takes about two weeks from the time you sign the engagement letter. We handle the welcome paperwork, set up access to your books, gather supporting documents, review your current setup, and prepare your file for the first month of regular bookkeeping.
What happens after I submit the contact form?
Miya personally reads every submission and responds within one business day - usually faster. We'll schedule a consultation call, talk through your business, and follow up with a written recommendation if it looks like a fit.
